Straight off our call. I've taken what you told me, the quoting bottleneck, the on-site variations, the booking gap, and turned it into a phased build with real pricing. No fluff. This is exactly what we'd do, in what order, and what it costs.

You don't need leads. You need the glue automated.
$250k a month, twelve people, 464 five-star reviews, all running on SimPro. The jobs aren't the problem. It's the manual work between the systems, and you named exactly where it hurts. Here's what I took away, in order of what's costing you most.
01
Quoting is the big one
"That bottleneck is the biggest one." Email and phone enquiries get turned into quotes by hand. 80% of your quotes are done over the phone. You want AI to draft the quote in SimPro, with approval gates by dollar value.
02
On-site variations are leaking money
Guys turn up, the job's bigger, customer says "yeah do it", then queries the bill. You want a voice-to-quote on site with written approval before they proceed.
03
Booking the quote-call
Right now leads get "we'll call you back". You liked auto-booking the quote-call into the team calendar with reminders. Higher intent, higher show rate.
04
Follow-up is "very basic"
Sent quotes get a light chase. A personalised, SimPro-synced sequence closes more of the work that's already on the table.
05
Database sitting idle
Old enquiries and past customers aren't being re-touched. A reactivation loop every 60-90 days pulls work out of what you already have.
06
No single view
You want to scale past twelve without flying blind. That's the command centre, and it's the answer to your control concern.
02 / The shape
The architecture
Two layers over what you already run.
We don't replace SimPro and we don't hand you new apps to learn. We connect to SimPro natively, automate the manual glue, and put an intelligence layer on top that you watch from one screen.
● Layer 1 — the operating system
→ SimPro stays the source of truth for jobs and quotes
→ The gaps get automated: booking, follow-up, reactivation
→ Everything syncs, no double entry, no mishaps
● Layer 2 — the intelligence
→ AI agents that draft quotes, chase, qualify, reactivate
→ Human approval gates where you want control
→ A command centre that shows and runs the lot, 24/7
I checked the SimPro API before writing this. It supports creating quotes, jobs, cost items and webhooks directly. So the quoting engine plugs straight in, it's not a maybe. It also means we can likely do the transcribing and quote-building AI-native and lean on Podium less, which cuts a subscription rather than adds one.
03 / Build
Phase 1
Foundation + the quick wins.
We connect everything, stand up your command centre so you've got visibility from day one, and ship the fast ROI fixes. Something real is live, not a slide deck.
Phase 1 — FoundationLive in 2-4 weeks
Connect, see, and stop the leaks
01SimPro connected and syncing. Your command centre live: leads, jobs, quotes, conversions, a daily brief.
02Auto-booked quote-calls. Enquiries get offered real calendar slots with confirmations and reminders, instead of "we'll call you back".
03Quote follow-up sequence. Personalised, SimPro-synced, 7-14 day soft nudges until it's a yes or a no.
04Database reactivation. Old enquiries and past customers re-touched every 60-90 days with intelligent conversations.
05After-hours capture tidied so nothing serious slips over the weekend.
Indicative build: $6,000 – $7,000 · part of the total below

Phase 2 — your #1 bottleneck
The quoting engine.
This is the one you said hurts most. Email and phone enquiries become draft quotes in SimPro, ready for a human to approve. You stay in control with dollar-based gates, and you pull yourself out of the low-end jobs over time.
Phase 2 — Quoting EnginePriority phase
Enquiry to draft quote to approve
01Email enquiries (incl. rent-roll) captured and read by AI, turned into a structured quote in SimPro.
02Phone quotes transcribed and built into a draft quote the same way, so the girls aren't typing them up by hand.
03Approval gates by value: under $1k the office approves, above that a senior or you. We nudge the threshold up as you trust it, so you exit the low-end jobs.
04The AI learns your pricing, scope-of-works and templates, and self-corrects from your feedback on each one.
05Built on SimPro's API. We assess whether Podium is still needed for this, or whether it comes off the bill.
Indicative build: $4,000 – $5,000 · part of the total below
05 / Build
Phase 3
On-site variations, with written sign-off.
The messy bit you flagged: the job's bigger than quoted, someone says "yeah do it", then queries the invoice. This closes that gap so the variation is priced, approved and on record before the work happens.
Phase 3 — VariationsOnce Phase 2 is solid
Voice on site to a written yes
01Tradie speaks the variation on site: "two extra power points, two hours, 50m of cable."
02It builds a clean, professional quote with the gear, time and description, into SimPro.
03Owner or senior approves, then the customer gives written approval before any work proceeds.
04No more "why did it cost that". Every variation is priced and on record.
Indicative build: $2,000 – $3,000 · part of the total below
06 / Visibility
The command centre
The control you asked for.
You said the worry is not knowing what's going on once it's automated. This is the answer. One screen, a morning brief, everything flagged. You get more visibility than you have now, not less.
● Today
✕ Numbers live across SimPro, Podium, email and people's heads
✕ You find out something dropped after it's cost you
✕ Talking to five people in the morning to know where things sit
● With the command centre
✓ One screen: leads, quotes, jobs, conversions, what dropped
✓ A daily brief: what's healthy, what needs you, what to approve
✓ Every approval gate in one place. Nothing fires without a human where you want one
Same engine I run my own business on. It briefs me every morning and I stopped living in my inbox. That's what you'll have, branded to Sparks Power, on your own infrastructure.
07 / Straight answers
Your three concerns
Cost. Control. Security.
01 — Cost vs return
It has to pay
You've been told AI runs away on cost. True if it's bolted on with no plan.
The deal: every piece is scoped to what it saves you. If a piece doesn't pay, we don't build it. And if it's not working, we pause the fee.
02 — Control
You stay in the seat
The worry it all runs through AI and you can't see it.
The deal: approval gates everywhere you want them, and the command centre shows you everything. More visibility, not less. We walk you through how it all works.
03 — Security
Built under your roof
You're stepping the business up and privacy matters.
The deal: encrypted in transit and at rest, built inside your own accounts and infrastructure, compliant handling, access controlled. It's yours to keep.
Encrypted in transit and at restYour accounts, your infrastructure, you own itHuman approval gates by dollar valueNo client data exposedWe walk you through all of it
08 / The numbers
Straight pricing
What it costs.
Two parts: a one-off build for the infrastructure across the phases, then a weekly fee to run and keep improving it. Locks once we confirm the final phase scope together.
Infrastructure build (one-off)
$12k – $15k
The full build across all three phases (command centre + quick wins, the quoting engine, on-site variations). Paid by phase as each goes live, so you pay as the value lands.
Management (weekly)
$1,000/wk
Runs and watches everything 24/7, fixes issues straight away, keeps optimising. Daily updates, a WhatsApp line to the team, your project portal. Starts when the system's live.
No lock-in
No 12-month handcuffs. If it's not for you, you walk.
It works or we pause
If the systems aren't delivering and we can't fix it, we pause the fee and keep working.
Yours to keep
Built under your accounts. The infrastructure is an asset you own, not a tool you rent.
Could cut spend
Going SimPro-native may let us retire tools like Podium, so it's not all new cost on top.
For a business turning over ~$250k a month, the quoting engine alone, getting the girls off manual quote entry and pulling you out of the low-end jobs, pays for the build well inside the first quarter.
09 / Kick off
Next step
Ready when you are.
If the plan looks right, here's how we start. Simple, and you sign off at every step.
01You give the nod, we lock the phase order and the final scope together
02We map your SimPro setup in detail and confirm the build, then kick off Phase 1
03Phase 1 live in 2-4 weeks: command centre, booking, follow-up, reactivation
04Then the quoting engine, by priority, with you signing off each phase
Have a read, and let's get the quoting bottleneck off your plate. Local, so happy to grab a coffee and map it in person.
